#521 Terminate Elements

Terminate Elements alerts you if any coding is entered for elements or GL codes which have been marked Terminated. This alert mechanism is available in timesheets, vouchers, cash receipts, journal entries, accounts receivables, purchase orders and expense reimbursements.
Agencies using this supplement find that Terminate Elements is a way to reduce coding errors when program years change.
The alert mechanism tells you that the element or GL code is terminated, but gives you the option to override and use that element or GL code for coding.
When new elements and GL codes are entered, they are automatically assigned an active status unless you indicate otherwise. When changing the status of an element, you have the option to terminate or activate all elements within the same project.

Things You Should Know
- Following installation, all elements and GL Codes are designated as active. To change the status, go into General Ledger, Program Elements or GL Codes. Look up the codes you wish to terminate and check the Terminated box. The Active box will remain checked. If you are terminating an element, you will then be asked if you wish to terminate all of the elements within the same project. The default answer to this question is no. If you are terminating a project, it will automatically terminate all of the elements assigned to that project.
- If an error has been made in terminating an element and you wish to activate it again, click on the active box. You will then be asked if you wish to activate all of the elements within the same project.
- This supplement is intended to alert you to a possible coding error. It will not prevent the recording of a transaction to a terminated element, nor will it prevent normal processing from taking place if a transaction has been saved to a terminated element.
